Please read these terms and conditions carefully before you submit your booking; these terms and conditions set out: (1) your legal rights and responsibilities, (2) our legal rights and responsibilities, and (3) certain key information. These terms and conditions apply when you and we enter into a contract for the sale and purchase of outdoor activity courses and/or residential stays at Grenville House. Definitions:
Activities: the residential and/or outdoor activity courses or sessions supplied by us to you;
Booking: your booking for the Activities as set out in your booking form;
Conditions: the terms and conditions set out in this document as amended from time to time in accordance with clause 2(f);
Contract: the contract between us and you for the sale and purchase of the Activities in accordance with these Conditions;
Deposit: the deposit payment payable by you to us in respect of the Activities in accordance with clause 2 when you submit your booking form;
You or your: means the individual or organisation purchasing Activities from us, as detailed in the Booking;
We, us or our: means Grenville House Outdoor Education Centre a company registered in England and Wales with company number 06679532 and whose registered office is at Grenville House, Berry Head Road, Brixham, Devon TQ5 9AF.
a. To make a booking enquiry you should contact us either by telephone, email or using the contact form on our website to enquire of available dates.
b. Once availability has been agreed, you can provisionally book Activities by issuing a written request to us specifying the dates, party number and required activities which you wish to provisionally book. On receipt of your request, subject to availability, we shall reserve the Activities (and dates) specified by you for a period of 14 days. For the avoidance of doubt, at this point no Booking is in place and no contract in force between us. We agree only to reserve the Activities and dates specified you for a period of 14 days.
c. To place a Booking you should complete, sign and return to us a booking form. Booking forms are available for download from our website or are available on request to us. When you submit your booking form you must pay the Deposit using the payment details detailed in clause 2. The Booking constitutes an offer by you to purchase the Activities in accordance with these Conditions.
d. The Booking shall only be deemed to be accepted when we issue written acceptance of the Booking at which point and on which date the Contract shall come into existence. We will not accept your Booking until we have received your booking form and payment of the Deposit.
e. These Conditions apply to the exclusion of any other terms that you seek to impose or incorporate, or which are implied by trade, custom, practice or course of dealing.
f. We may need to update these Conditions from time to time. Where we do we will advise you of the change before we accept your Booking.
g. We cannot accept Bookings by persons under the age of 18.
h. We endeavour to keep published prices and other information up to date but reserve the right to alter them at any time. You will be advised of any price changes or other relevant changes when your Booking is processed and will be given the opportunity then to cancel if desired.
Please note that Bookings can only be made from the 1st Monday in December for the next two years ahead.
a. Method of Payment
Our preferred method of payment is by BACS, but payments by cheque should be made in favour of ‘Grenville House’.
Note: We reserve the right to pass on to you any bank charges and other costs incurred if we have to represent a cheque.
b. Resident Bookings
Where your Booking includes a residential stay at Grenville House, a non-refundable Deposit of £100/night is required. Subsequent pre-payments are required as follows:
i. 25% of the total cost of the Booking 24 weeks prior to booked arrival date.
ii. 50% of the total cost of the Booking 12 weeks prior to booked arrival date.
The final balance to pay will be invoiced upon completion of your visit payable on 20 day terms. Any minor changes to the agreed Activities (including the activity programme) will be reflected in the final balance.
The total cost of the Booking will be calculated using the information provided on the booking form. Until new prices have been set for the following year the prices used will be those for the previous year plus 5%.
c. Non- Resident Bookings
Where your Booking consists only of activities (and no residential stay at Grenville House) the total costs of the Booking shall be payable in full when you submit your booking form.
3. CANCELLATION BY THE CENTRE
We reserve the right to cancel your Booking due to adverse weather forecast or prevailing weather conditions or due to other factors beyond our control. If we have to cancel your Booking we will endeavour to organise an alternative date. If this is not acceptable to you or no alternative date is available we will offer a full refund.
4. CANCELLATION BY THE CUSTOMER
Should you wish to cancel your Booking or request a change in the date of your visit you must inform us in writing immediately by way of a cancellation notice or a change request. Upon receipt of your cancellation notice or change request, we shall issue written acknowledgement.
a. Change requests:
i. We shall use reasonable endeavours to rearrange your Booking on a suitable alternative date(s). Where a suitable alternative date(s) is not available or is not accepted by you, your change request shall be deemed a cancellation notice for the purposes of this clause 4.
ii. Where a suitable alternative date is available and accepted by you we reserve the right to charge you for any loss of profit suffered by us in respect of the change (e.g. if the nightly rate of the original booking is higher than the nightly rate of the alternative dates selected).
b. Cancellation notice:
i. The Deposit is non-refundable in all circumstances;
ii. You shall also remain liable for the full amount of the Booking unless we can secure a new Booking for the applicable dates. Payments for the Booking will fall due in accordance with clause 2;
iii. Where we are able to fill the cancelled Booking in full no further costs shall be payable by you, other than any reasonably incurred administrative costs relating to securing the new Booking (“Administrative Costs”), and where you have made any pre-payments in respect of the cancelled Booking, we will issue a refund in respect of such pre-payments (save for the Deposit and any Administrative Costs);and
iv. Where we are able to fill only part of the cancelled Booking you remain liable to us in respect of the unfilled part of the Booking and any applicable Administrative Costs.
5. PHYSICAL FITNESS/SAFETY
a. All the activities are physically demanding and may involve bending, lifting, balancing, jumping, falling, climbing, stretching and demand a degree of co-ordination. You should ensure that you & your group have an adequate level of fitness for the activities undertaken.
b. If there are any medical conditions relating to yourself or your group you must inform us when making your Booking. We strongly recommend that if any member of your group has a medical condition or is pregnant etc that they check with their Doctor and us before making a Booking.
c. Ideally everyone taking part in water sports activities should be able to swim 50 metres in light clothing although this is not a pre-requisite.
d. All groups must comply with the safety regulations, operating procedures and instructions of Centre Staff.
e. We require medical information for ALL participants taking part in the Activities. For under 18s we also require parental consent. A copy of our consent form can be downloaded from our website for groups or individuals who do not have access to their own. We must keep copies of these medical forms for our records for 2 years. These must be provided by the group leader at the beginning of the stay. We reserve the right to deny you or any member of your group the ability to participate in the Activities if we have not received copies of the requisite forms.
f. Misbehaviour may result in participants being excluded from a session or from further activities. We will discuss the situation with the group leader and they may be required to remove the participant from the centre and/or the Activities. The Duty Manager’s decision will be final and no refund will be made.
a. It is your responsibility to arrange appropriate insurance against cancellation, curtailment, personal accident, personal liability, loss, damage and theft. We strongly recommend this.
b. Grenville House has Public Liability Insurance and Employers Liability Insurance and only accepts responsibility for loss, damage or injury resulting from negligence by Grenville House.
c. We must be notified of lost property within 2 weeks as any items found are disposed of after this period.
d. Please note if on-site parking is used vehicles and contents are left at the owner’s risk. Any damage to Centre property or breakages will be charged for.
No animals are allowed within the Centre or on site.
No smoking, vaping or use of e-cigarettes is allowed within the Centre or on site.

All Bookings are accepted on condition that the customer agrees to abide by these Conditions and confirms this acceptance on the booking form.
